Job Title: Data Manager

Reports to: VP, Specialty Programs and Program Evaluation

Status: Full-time, Mon - Friday

FLSA Classification: Exempt

Job Location: Manhattan


JOB SUMMARY

The Data Manager oversees the database used to manage all client information and document the work done by staff in accord with funders and contract standards. The Data Manager works closely with social service staff to ensure forms and reports communicate effectively and are efficient and user friendly. The Data Manager supports all efforts to effectively collect and use data to guide decision making and evaluate programs and initiatives.


ESSENTIAL FUNCTIONS

Database Management

  • Oversight of client record database, currently Efforts to Outcomes (ETO)
  • Perform regular database maintenance; modify ETO as needed
  • Train new employees on ETO and provide ongoing support
  • Troubleshoot issues with ETO and report defects to Social Solutions
  • Ensure compliance with all data entry procedures through monitoring and coaching
  • Develop and implement protocols and reference materials to promote ETO best practices

Engage staff in data driven discussions

  • Coordinate the Incident Review Committee by distributing regular reports on incidents, selecting incidents for review in collaboration with Vice Presidents, creating agendas and taking meeting minutes
  • Lead monthly Learning Lab including the development of agendas, scheduling, meeting facilitation and follow up
  • Participate in monthly Clinical Documentation Group meetings
  • Facilitate the Clinical Documentation Group in the absence of the VP, Specialty Programs and Program Evaluation
  • Present findings and provide updates on data and evaluation initiatives at Directors Meeting

Program monitoring and evaluation

  • Develop outcomes and associated metrics and benchmarks for new programs
  • Conduct fidelity reviews and process evaluations to ensure evidence-based models are implemented with high fidelity
  • Monitor outcomes and provide regular updates to staff, taking initiative to alert staff to deficiencies

Reporting

  • Develop, produce and distribute monthly agency Dashboard
  • Assist staff with reports due to funders
  • Develop methods to improve reporting accuracy and efficiency
  • Develop custom reports to advance program and operational efforts
  • Produce ad hoc reports as needed

REQUIRED QUALIFICATION

  • BA/BS in applicable field (social sciences, technology, mathematics) required
  • One year of experience analyzing and presenting data required
  • Intermediate or Advanced Excel skills required
  • Excellent presentation, interpersonal and communications skills required

PREFERRED QUALIFICATION

  • Master's degree in applicable field
  • Experience with Efforts to Outcomes (ETO) database
  • Knowledge of HIV/AIDS, mental health, substance use or chronically homeless population
