Job Title: Program Assistant

Reports to: Program Manager

Status: Full-time, Mon - Friday

FLSA Classification: Non-Exempt

Job Location: Manhattan/Penn Station Area

SUMMARY

The Program Assistant will provide high-level administrative support to the Program Manager and the Specialty Program Directors in the areas of staff development and training, procurement, evaluation reports, and communications. Working independently, the Program Assistant will also assist the Manager of Development and Communications with special projects that support program growth through the completion of proposals and reports for governmental funders and foundations.

ESSENTIAL FUNCTIONS:

  • Provides administrative support as needed to the Program Manager and the External Affairs and Communications Manager.
  • Assists in the planning, implementation and analysis of staff trainings.
  • Assists the Program Manger to develop and research training opportunities that addresses both the contract requirements as well as the demonstrated needs of the staff for learning and growth.
  • Assists in the organizational logistics of staff trainings and meetings including coordination of scheduling, attendance tracking, distribution of materials and day of support via Zoom.
  • Assists in the production of reports that analyze implementation and effectiveness of trainings and programs.
  • Assists is the development and maintenance of work-related manuals and guides.
  • Ensures payments to consultants are properly allocated and that purchase orders are completed for the fiscal department in a timely manner.
  • Assists the team with the preparation and submission of proposals for government funders and private foundations.
  • Prepares, submits, and tracks purchase orders, and other financial transactions.
  • Assists in the development and implementation of program evaluation and quality improvement reports.
  • Accepts and performs other work as assigned.

REQUIRED QUALIFICATIONS

  • Bachelor's Degree.
  • Experience working in a nonprofit organization with government funders.
  • Excellent writing, communication and organizational skills.
  • High level of Microsoft Office proficiency.
  • Intermediate level of Excel proficiency and the ability to learn new technologies and databases.
  • Ability to work both independently and as part of a team to complete projects in a timely manner.
  • Excellent attendance and punctuality.
  • Professional and courteous manner and an ability to work harmoniously with other employees, clients and the general public.
